LOGISTICS ADMINISTRATOR (FULL TIME)

The role is responsible for administrative tasks related to the operations of the Aberdeen depot, ensuring seamless communication between clients, operations, and internal departments. The primary focus is on managing service delivery, resolving customer issues, and supporting operational processes to uphold high service standards and operational efficiency. Additionally, this position serves as the main depot focal point for QHSE (Quality, Health, Safety, and Environment) administrative tasks.
Main Duties and Responsibilities
Operational Administration
- Act as the first point of contact for all customer enquiries, delivering a professional and efficient experience.
- Coordinate the resolution of delivery issues, delays, and discrepancies, maintaining proactive communication with customers.
- Respond to phone calls and emails promptly and professionally.
- Collaborate effectively with colleagues across the internal depot network to provide updates on the movement of customer goods.
- Prepare and distribute proof of delivery notes for deliveries and collections under designated contracts.
- Process returned proof of delivery paperwork for depot, raising queries with drivers regarding any missing or incomplete documentation.
- Administer specific contracts, ensuring accurate documentation and reporting related to delivery paperwork.
- Perform data entry tasks across company systems with precision.
- Raise Purchase Orders on behalf of operational team where necessary
- Approve purchase invoices via the company’s purchase invoice system, ensuring alignment with completion dates and purchase order numbers.
- Provide general administrative support to the depot as required.
- Comply with all applicable company quality, health, safety, and environmental procedures.
- Adhere to all site-specific safety rules and protocols.
QHSE Administrative Focal Point
- Maintain and update QHSE documentation, including risk assessments, incident reports, audits, and training records.
- Ensure weekly QHSE inspections are completed and accurately recorded in the QHSE system.
- Monitor and report QHSE metrics such as near misses, safety observations, and corrective actions, ensuring all actions are followed up and closed off, escalating where necessary.
